Position Summary
The Master Scheduler is responsible for the scheduling of the Certification Technician work assignments and dispatching as scheduled work is confirmed with Customers. Works closely with Customer Operations, Associate District Service Managers and District Service Manager to ensure appropriate communications and adherence to any applicable policies and procedures.
What You Will Do
•    Assigns technicians to jobs in the most efficient and profitable way as possible. Must ensure that technicians possess the correct level of training for the work and can access the job site. Maintains web-based scheduler as work is assigned and keeps updated throughout the day. 

• Performs accurate calculation of man hours to complete the scope of work as presented for scheduling. 

• Confirms scheduled date with Customer via email and/or phone. Creates a detailed service order for the technician to include scope of work, date(s) of job, confirmed arrival time(s), on site contact name and telephone number, any special notes and templates for units requiring CAD documents for testing. 

• Communicates job cancellations to Customers (tech call offs, weather delays, etc), confirms rescheduled dates with Customers, updates scheduled/promised/packing list dates in Oracle, prints updated SOA for tech for rescheduled date(s). 

• Ensures that all required back up paperwork needed for each job is included in the service order package (includes templates, Customer spreadsheets, hazard determination forms, etc). Coordinates all necessary tools, equipment, vehicles, materials, and supplies for the technicians. 

• Tracks Service Orders through the Order to Cash Process to ensure timely processing and invoicing.

• Acts as primary point of contact for field technician scheduling issues, adjust manpower plan and schedule changes. 

• Maintains site access requirements database for site access, clearance, badges, and onsite training for field personnel. 

• Track’s weekend and overnight assignments for fair distribution of mandatory travelling and overtime. Assigns staff to meet emergency client demands. 

• Additional site responsibilities as assigned.

What Will Help You Be Successful

Bachelor’s degree plus two (2) years’ experience as a Scheduler or Certification Technician. Minimum ten (10) years experience as a Certification Technician, Master Scheduler or Customer Service Representative will be accepted in lieu of degree. 
Minimum three (3) to five (5) years’ experience scoping and planning service work. 
Minimum three (3) to five (5) direct experience coordinating services with Customers.  
Excellent interpersonal, written, verbal and analytical skills. 
Excellent organizational skills Knowledge of Oracle and strong competency of Microsoft Office suite.  
Excellent time management skills with ability to take a proactive approach, multitask, establish priorities, and deliver within deadlines. 
Attention to detail a must. 
Must have the ability to work in a team environment. 
Ability to interact with all levels of company personnel and clients. 
Listening skills essential to understand and empathize with Customer and internal resources. 
Ability to recognize Customer’s needs and qualify potential needs for vertical integration of all services provided. 
Confidence with problem solving ability and ability to assimilate new information into decision making process. 
Ability to work independent of supervision. 
Self-motivated to complete tasks accurately and efficiently. 
Ability to detect trends and problems and recommend administrative solutions when practical. 
Be empathetic on employee Human Resource issues. Use tact, professionalism, and respect for individuals to discuss disagreements and solve in a mutually favorable manner.
