ABOUT THE ROLE
The incumbent will report to the Vice President, Finance. The incumbent will support other Vice Presidents as required. Must be detail oriented, highly organized, and a strong communicator, in addition to being a resourceful problem-solver and relationship builder. The ideal candidate will have a can-do attitude, who is excited by working in a fast-paced environment and has the desire to learn and grow. This position is full-time, based in the Woodinville WA location with the expectations to be onsite 2 days a week.
YOUR DAILY IMPACT AT PELOTON
Actively and strategically manage calendars and meeting schedules in Microsoft Outlook/G-Suite to ensure schedules are prioritized towards strategic goals and execution. Understand how the executives’ time is utilized and make recommendations on how it should be spent. Ensure adequate work time for commitments.
Organize travel, compile expense reports, track timekeeping and monitor, screen and respond to routine correspondence.
Assist in scheduling complex calendar events that involve large groups or demanding schedules. This includes coordinating off-site functions and arranging catering and meeting setup for larger on-site meetings.
Assist in managing department budgets through purchase orders, receiving against invoices, and tracking department spending in cooperation with the department’s Financial Analyst and budget owners.
Manage purchases on a department credit card and provide monthly reporting.
Participate in the development of highly visible presentations. This may include slide deck build-out, research, content creation, and alternative presentation platforms.
Aid in managing project lists and deliverables for direct reports.
Be a champion of the business and within the bounds of confidentiality, help individuals understand where we are headed and what we are doing to get there. Ensure executives have the right interactions with staff i.e. cards, calls, joining meetings and events as appropriate.
Responsible for organizing and hosting recurring meetings such as weekly staff meetings, monthly department meetings or other recurring project meetings. Using project management skills, develop agendas, and work with appropriate personnel to create meeting content and track deliverables.
Understand industry, organization strategy, and team dynamics to aid in making the right choices about the use of executive’s time, making decisions for the business, and communicating on behalf of the executives.
Identify areas for continuous process improvement and work with department members to implement the changes.
Heavy calendar management for each of the executives with the ability to pivot quickly and collaborate effectively with internal and external partners across multiple time zones.
Communicate with internal team members and external partners on behalf of the executives.
Manage domestic and international travel arrangements ensuring tight schedules and well-articulated agendas
Prepare expense reports and purchase requisitions including monthly expense reconciliation and on-demand travel expense reports
Uphold a very strict level of confidentiality for the executives and their teams
Arrange and execute team building activities, offsites, social events, swag
Capable of handling administrative ad-hoc projects
Monitor T&E spend for each of your executives’ team
Maintain team distribution list
YOU BRING TO PELOTON
5-7 years of administrative experience as an Executive Business Partner
Minimum 1-2 years’ experience leading multiple projects from competing business units
Excellent organizational, analytical, anticipatory, and written communications skills
Ability to make independent decisions and to juggle multiple projects at once, in addition to dealing with ambiguity
Solid project-management, presentation, and problem-solving skills, with ability to think on your feet
Must be assertive and have a high level of integrity and consistently demonstrate a positive “can-do” attitude with the ability to maintain the confidentiality of highly sensitive material with tact and professionalism
Eager and able to work effectively under pressure with short time constraints and in relatively ambiguous and complex situations, as well as the ability to adjust direction in response to changing work situations
Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups
Knowledge of corporate organization and ability to navigate it and knowledge of departmental business practices and tools is required
Demonstrated attention to detail
